Microsoft OneNote has been around for a few decades. However, Microsoft has offered two versions – Office 365 and UWA – of its popular note-taking service in recent years. The Office 365 version works just like the previous versions and there is a UWA (Universal Windows App) client available in the Microsoft Store. OneNote is completely free to use unlike other apps from the Microsoft Office suite. In a recent push from native Windows apps, the company shut down the desktop version of OneNote and is now targeting the UWA version. Microsoft is slowly adding the OneNote desktop features to its UWA counterpart. While they’ve done a pretty good job, the company still hasn’t ported all of the keyboard shortcuts to the new app. That doesn’t mean we run out of options. The service offers a number of attractive keyboard shortcuts. And in this post, I’ll cover the main essential shortcuts for OneNote on Windows and macOS platforms. The usual ones, like Copy (Ctrl + C), Paste (Ctrl + V), Undo, Redo, and Select All, are universal, and you’re probably using it in some way. Instead, I’ll walk you through the main ones that will help you get the job done. Note: For Mac users, it is Command button works similar to the Ctrl function on Windows. So when I mention the Ctrl key in Windows, same thing trick applies to macOS with the Command key.
1. Add bulleted / numbered list
As with many note-taking applications, OneNote supports adding bullets or a numbering scheme to the note. You can use Ctrl +. shortcut on Windows or Command +. on macOS for bullets or press Ctrl + / and Command + / to add numbers respectively. One can also go with different shapes and numbers from the list. However, they are not supported by keyboard shortcuts.
2. Select Title of page
You may want to quickly change the title of the page. You can use the keyboard shortcut Ctrl + Shift + T or the keyboard shortcut Command + Shift + T on macOS to select the title of the page.
3. Insert hyperlink
OneNote provides an option when you want to add a hyperlink to a particular word, select the word and hit the keyboard shortcut Ctrl + K or Command + K for the macOS shortcut to complete the action.
4. Highlight Words
In a long note you may want to emphasize certain things words to make them stand out from the crowd. With OneNote you can easily define phrase or words with a quick keyboard shortcut of Ctrl + Shift + H and Command + Shift + H keyboard shortcut on a Mac.
5. Enter the date and time
If you are working on a long note for a period of time, you may want to add a date and time to the recent edits. Just press the keyboard shortcut Alt + Shift + F or Shift + Command + D on Mac.
6. Show / hide ruler lines
As the name suggests, OneNote supports rulers through the notes. Just press Ctrl + Shift + R in Windows to add or remove rulers from the page.
7. Add a new subpage below the current page
OneNote supports adding a subpage to a specific page in a particular section. It is useful for long projects. Press the keyboard shortcut Ctrl + Shift + Alt + N and you are ready to go with a new subpage.
8. Open another OneNote window
Working on multiple OneNote pages can get tedious over time. Fortunately, OneNote supports opening a new window to add content. Press the keyboard shortcut Ctrl + M to activate the action.
9. Create a new notebook and section
As you may already know, OneNote supports adding new notebooks and sections to them. Now, of course, you can select the ‘+’ icon, but even better, you can use the keyboard shortcut Ctrl + T or Command + T to add a new section. You can also create a new notebook with the keyboard shortcut Control + Command + N on the Mac.
You can also add a new page to a section by quickly pressing Ctrl + N or Command + N.
10. Move current note to new section
This is standard in note-taking apps. One can quickly move pages to a new section with the keyboard shortcut Ctrl + Alt + M or Command + Shift + M on macOS.
11. Add columns to the table
OneNote supports adding tables to the pages. After a while, you may want to add columns to the table. In Windows, just press Ctrl + Alt + R (to add column to the right) and Ctrl + Alt + E (to add column to the left). On macOS, you have to press Control + Command + L (add a new column to the left) and Control + Command + R (to add a new column to the right).
12. Add tags
This one is a lifesaver. I use them regularly. Adding tags is the best way to go through what’s important or what needs to be flagged. They are also the easiest to remember. For windows, one can use Ctrl + 1 (To-do), Ctrl + 2 (Important), Ctrl + 3 (Question), Ctrl + 4 (Remember), Ctrl + 5 (Definition) and Ctrl + 0 (Delete all) tags ).
macOS requires Command + 1 (To-do), Command + 2 (Important), Command + 3 (Question), Command + 4 (Remember), and Command + 5 (Definition) keyboard shortcuts.
13. Search notes
OneNote offers a powerful search function in the app. Press Ctrl + E or Command + E to quickly search through notes.

The list above indicates that OneNote supports many shortcuts on Windows and macOS. The list is even clearer on Windows as it is a Microsoft product.
